Getting started
Creating your first entry
Open the Entries tab and tap the + button. Choose an entry type — Session, Encounter, Procedure or Event — give it a title and a date, then start writing. Everything else (location, duration, tags) is optional and can be added later.
The four entry types
Sessions are clinical placements, rotations or shifts. Encounters are individual patient interactions or consultations. Procedures are clinical skills you performed or observed. Events are workshops, lectures or training activities.
Sessions vs encounters — which should I use?
A Session typically wraps a whole shift or clinic. Encounters live inside or alongside Sessions and capture single patient interactions you want to reflect on individually. If you are not sure, start with a Session — you can break out individual Encounters later.
Adding tags
Tags (e.g. "ortho", "teaching", "on-call") let you slice your portfolio later. You can create tags inline as you write and the app remembers them for autocomplete next time.
Peer review
How do magic-link reviews work?
Open any entry and tap the Review button. Enter your supervisor's name and email and we send them a one-shot link. They click, read the entry on any device, and sign off — no Odyssey account required.
Review statuses explained
Not sent — no review has been requested. Pending — the link has been sent and is awaiting the supervisor's response. Reviewed — your supervisor has countersigned the entry. The status appears as a colour bar on the entry tile.
How long are review links valid?
Magic links expire 30 days after sending. If your supervisor doesn't get to it in time, simply re-send a fresh link from the entry.
Filtering by status
Tap the filter icon at the top of your Entries list and pick a review status to narrow the view. Combine with type or tag filters for fine-grained slicing.
Narratives & appraisals
What is a Narrative?
A Narrative is a way to group related entries into a coherent story — for example "Surgical rotation Q1" or "Paediatric cases". You can add free-form reflections inside a narrative timeline to demonstrate growth, not just activity.
Creating a Narrative
Open the Narratives tab, tap +, give it a title and description, then add the entries you want to include. You can edit and re-order entries inside a Narrative at any time.
Appraisals
Appraisals wrap a date range and pull in selected Narratives to give a structured ARCP-style summary, with space for a Personal Development Plan. Export as a polished PDF when you are ready for your panel.
Exporting to PDF
Inside an Appraisal, tap the share icon and choose "Export PDF". The export is appraisal-panel ready and respects your selected Narratives and date range.
Insights
Activity heatmap
The heatmap on the Insights page shows how regularly you are journaling, like a GitHub contributions chart. Darker squares mean more entries on that day.
Case-mix breakdown
See your entries distributed across types and tags. A useful sanity check that you are journaling across the breadth of your practice, not just the easy bits.
Streaks
A gentle nudge to keep journaling. Streaks count consecutive days with at least one entry. They are personal — your supervisor will never see them.
Tips & shortcuts
Bulk select & delete
Long-press on any entry in the list to enter selection mode. Tap as many as you like and choose Delete — much quicker than one-at-a-time.
Quick filters
On any list, the filter icon opens chips for type, tag and status. They stack — combine to find exactly the entries you need.
Editing entries
Tap Edit on any entry detail view. The form appears inline in the same pane — no popups, no losing your place.
Cross-device sync
Anything you write or edit on one device shows up on the others within seconds. Just make sure you're signed in to the same account.
Subscriptions
Free vs Pro — what's the difference?
The Free plan gives you 20 lifetime entries with every professional feature included. Pro removes the entry cap. Everything else — magic-link reviews, narratives, PDF exports, insights — is identical on both tiers.
How much does Pro cost?
Pro is £3.99 / month or £24.99 / year (saving roughly 48%). Local pricing is set by Apple App Store and Google Play.
Where do I subscribe?
In the iOS app, Android app, or via Settings → Subscription. Web users are redirected to the mobile app to upgrade. Once subscribed on either store, your Pro status is automatically synced to the web.
How do I cancel?
iOS: Settings → Apple ID → Subscriptions. Android: Play Store → Profile → Payments & subscriptions → Subscriptions. Cancellation takes effect at the end of your current billing period.
What happens if I cancel?
You keep Pro features until the period ends, then your account reverts to Free. No entries are ever deleted — but if you are over the 20-entry threshold you won't be able to create new ones until you resubscribe or delete some.
Refunds
Refunds are handled by Apple or Google directly. For App Store: reportaproblem.apple.com. For Google Play: Play Store → Profile → Payments & subscriptions → Budget & history.
Does deleting my account cancel Pro?
No. Odyssey account deletion removes your portfolio data and sign-in from our systems. Your App Store or Google Play subscription is separate — cancel it in the store if you do not want future charges. The app explains this before you delete.
Privacy & security
The "no patient data" rule
Odyssey is for your professional reflections, not your patients'. You must not enter any data that could identify a specific patient — names, dates of birth, NHS / hospital numbers, photographs, or any combination of facts that uniquely points to one person. Anonymisation is your responsibility.
Where is my data stored?
On Supabase, hosted in the European Union (Frankfurt). Data is encrypted in transit (TLS) and at rest (AES-256). See our Privacy Policy for full details.
Exporting my data
In the app: Settings → Your data → Export portfolio PDF. Pick a date range and download a formal PDF.
Deleting my account
In the app: open Settings → Delete account. You will see what is removed and, if you have Pro, a reminder that deleting your Odyssey account does not cancel App Store or Google Play billing — use Manage subscription or your device's store settings to cancel Pro if needed. If you cannot sign in, email contact@hummingbirdlabs.org from your sign-in address; we verify and remove your data per the Privacy Policy (live database within 24 hours of confirmation, backups within 30 days).
